March 15,1995 ~ Council Report 95-34 1995 VOLUNTEER RECOGNITION Proposed Action Staff recommends adoption of the following motion: Set the date for Hopkins' volunteer recogni- tion for Thursday, April 27; and conduct a reception with hors d'oeuvres. Overview The city of Hopkins traditionally holds its volunteer recognition in March, and honors those peo- ple who serve on the city's advisory boards, conunissions and committees. However, Milmesota Volunteer Recognition Week and National Volunteer Week is April23 - 29, and it would be nice to dovetail Hopkins' recognition with those. Minnesota's theme is "Stars of the North: Minnesota Volunteers." Hopkins' theme is "Stars of Hopkins: Hundreds of Helping Hands Building a Community." Last year, some of the Hopkins City Council members expressed a desire to broaden the scope of . the volunteer recognition. As a note of interest, the Hopkins Raspberry Festival's theme is "Sa- lute to Volunteers." Primary Issues to Consider Scope of the recognition: 0 Include members of the city's advisory boards, committees and commissions, city department volunteers, special project volunteers, Hopkins Area Arts Association and Lone Oak Garden Club. About 460 people will be invited, which includes volunteers and their guests. Nature of the recognition: 0 The board, commISSIOn, committee, and special project volunteers will receIve individualized certificates. With Mayor Chuck Redepenning acting as master of ceremonies, the certificates will be presented by the staff and city council liaisons. The liaisons also will recognize any support staff members present at the reception. HAAA and the Lone Oak Garden Club will receive a certificate in a wooden frame. The reception will begin at 6 p.m., with a cash bar available. The Hopkins High School Madrigal Singers will perform from 6:30 p.m. to 7 p.m. The volunteers will receive their certificates at 7 p.m. COst: 0 The cost is a minimum of $1,500 to rent a banquet room at the Hopkins House. The rental cost is offset by the number of dinners the city buys, or the amount of hors d'oeuvres the city buys. The city would have to buy a minimum of 200 dinners, a cost of $3,000. With the expanded recognition involving 400 people, the cost of buying dinners would be . $6,000. However, the city can buy a lot of hars d'oeuvres for $1,500, including meats, cheeses, vegetables, fresh fruits and dips. Other costs include about $375 for printing, certificate parchment and decorations. Alternatives 1. Conduct a dinner far about 460 vohmteers and guests at a cost of$6,375. 2.
