Commitment to visioning process results. 2. Agreement on participant mix for the design team. 3. Selection of design team members. 4. Development of a design team recruitment plan. 5. Teambuilding among council members and department heads. Proposed Roles For This Session: 1. Council and staff working as collaborative partners. Proposed Ground Rules: 1. Listen respectfully to understand. Agreement is not necessary. 6:00p.m. - 6:30p.m. Dinner. Overview. Check in. Consultant presents session overview. Check in - two minutes apiece - in turn How are you tonight "reaHi'? What hopes do you have for this visioning process? What concerns? Results, agenda, and ground rules okay? . 6:30p.m. - 7:00p.m. Dialogue for commitment to visioning process results. Consultant reviews phase two, including proposed roles. "What do you need from this visioning process in order to play your role (council member and staff) successfuHy over the next 5 years?" "What should be the role of staff in this visioning process that will result in widespread commitment of both community and stafI?" Open dialogue. One person responds to the questions. At random, another speaker says what key thoughts or feelings they understood from the previous speaker. lfthe previous speaker agrees, consultant will capture key points on flipchart. Next speaker responds to the questions. 7:00p.m. - 7:15p.m. Consultant proposes participant mix for design team. . . Page 2 7:15p.m. ~ 7:30p.m. 7:30p.m. ~ 8:00p.m. 8:00p.m. - 8:15p.m. 8: 15p.m. - 8:30p.m. . . Council and staff evaluate proposal. Open discussion. Select design team members Start with list of focus group participants and council applicants. Organize group into 5 groups of 3. One council member with two staff people in each group. Each group of three is assigned 2 constituent focus group(s) for design team selection, with assigned quotas to fill. Each small group reports out and full group makes any suggested changes. Agreement on recruitment plan and participant incentives. Council and staff evaluate session.
