RESOLUTION SETTING POLICY FOR MILEAGE REIMBURSEMENT
FOR CITY EMPLOYEES USING PERSONAL VEHICLES
WHEREAS, the former policy setting mileage reimbursement, based solely
upon gasoline cost, has proved to be volatile and unrealistic regarding true
vehicle cost,
WHEREAS, certain employees required to provide their own vehicles as a
condition of employment incur expenses of a different nature than employees who
use vehicles occasionally,
NOW THEREFORE BE IT RESOLVED by the City Council of the City of
Hopkins as follows:
1. The officlal basis for per mile reimbursement shall be the current
American Automobile Association annual publication "Your Driving Costs", using
the data category for 15,000 miles of use per year. This shall be referred to
as "AAA" below, as if as fully set out herein.
2. Those employees obliged to provide their own vehicles for city
use as a condition of employment, and who drive over 2,000 miles per year on
city business, shall receive a reimbursement payment of $4.50 per day for each
day of work attendance. This amount shall be revised up or down each year,
effective July 1st, by the percentage change in the annual AAA per-mile cost
calculation. Said employees shall continue to turn in actual mileage figures.
3. Those employees who, in the previous year, drove over 1,000 miles on
city business, shall receive a reimbursement payment equal to $1.40 for each day
of work attendance, plus a mileage rate equal to that computed in the current AAA
calculations for the first 300 miles per month each year, effective July 1st, by
the percentage change in the annual AAA per-mile cost calculation. Mileage over
300 per month shall be reimbursed at $.15 per mile.
4. All other employees or individuals authorized to apply for mileage
reimbursement shall receive the current AAA rate for the first 300 miles per month
and $.15 per mile for any additional miles.
5. The annual update of AAA mileage rate shall be performed effective
Julylst of each year.
