CR 2012-059 Award of Bid - HVAC Upgrade for Activity CenterMay 31, 2012 N o P K' N s Council Report 2012-059 AWARD OF BID Hopkins Activity Center HVAC Upgrade Proposed Action: Staff recommends adoption of the following motion: Move that Council adopt resolution 2012-036, resolution for award of contract, Hopkins Activity Center HVAC Upgrade, city project 2012-07. Overview On April 3, 2012 City Council approved final plans and ordered bids for the Activity Center HVAC upgrade project. The city budgeted $355,000.00 in the 2012 Capital Improvement Plan to upgrade the existing Low Pressure Steam Heating .System at the Hopkins Activity Center. The city opened bids on May 30; three bids were received with Schadegg Mechanical, Inc. submitting the low bid of $212,175.00. Schadegg Mechanical Inc. is a large well established contractor with good background and many references in this type of work. The lower bid price is due to the reduced project scope as staff removed the kitchen portion of the project and controls work. The kitchen work will be designed to match its proposed future use and equipment needs. The controls portion of the project is included in a broader 2013 controls upgrade project to replace and standardize building controls in multiple city buildings. The Activity Center staff is working with a kitchen designer to consider different kitchen scenarios and licensing plus the associated equipment layout and exhaust requirements based on function. After deciding on a proposed kitchen function, a design will be developed for kitchen improvements. If approved, a separate contract in 2013 or 2014 will be let to complete these improvements. The cost of this work is yet to be determined. This project originally allocated $65,000 for the kitchen -related HVAC work. • What Is the time frame for this project and the anticipated total project cost? The Activity Center will be closed from July 21 until August 17th for this work to be completed. The total project cost is: $212,175 (construction) + $24,000 (design services) + $31,800 (15% contingency) = $267,975 CITY OF HOPKINS Hennepin County, Minnesota RESOLUTION NO. 2012-036 RESOLUTION FOR AWARD OF CONTRACT HOPKINS ACTIVITY CENTER HVAC UPGRADE CITY PROJECT 2012-07 BE IT RESOLVED, by the City Council of the City of Hopkins, Minnesota that the lowest bid of Schadegg Mechanical Inc., in the amount of $212,175.00 is the lowest responsible bid for the Hopkins Activity Center HVAC Upgrade project, City project 2012-07, and the Mayor and City Manager are hereby authorized and directed to enter into a contract with said bidder for and on behalf of the City.
